The real problem

A policy on file at move-in doesn't mean a tenant is covered today

Tenant insurance usually gets checked once, at move-in. After that it lives in an inbox, a shared drive, or a spreadsheet someone updates when they remember. Policies expire at renewal. Documents wait for review. Follow-up emails get buried. By the time anyone notices, the gap may have been open for weeks.

Policies that expire quietly

A policy that was valid at move-in can lapse at renewal with nobody noticing. Mi Property Portal tracks every approved policy's expiry date and emails the tenant and your team before and when it expires.

Documents nobody reviewed

An attachment in someone's inbox isn't a verified policy. Every upload goes into a review queue with a clear status, so nothing sits waiting without anyone knowing.

Tenants with nothing on file

Missing insurance is easy to overlook when it's an empty cell in a spreadsheet. Here it's its own status, visible without opening a single tenant file.

Mi Property Portal turns tenant insurance from a document you collect once into a status you can see and manage.

One view for your whole portfolio

How does a property manager track tenant insurance compliance?

From one dashboard. Mi Property Portal shows tenant and pet insurance side by side for every unit, each with a clear status, so your team can see who needs attention without opening individual files.

  • Tenant and pet insurance tracked together, per unit
  • Policy details and expiry dates in one record
  • Six clear statuses, from Compliant to Missing Insurance
  • Documents and review history attached to each tenant

Built Around the Exceptions

Spend your time on the exceptions, not on finding them

The real work isn't re-checking tenants whose policies are already current. It's finding the ones who need attention. Mi Property Portal surfaces those exceptions so your team can focus follow-up where it's actually needed.

See who needs attention

Statuses and expiry dates flag the tenants who need follow-up, so nobody has to go looking.

Let reminders go first

Tenants get automatic emails before their policy expires and when it does, so the first nudge doesn't have to come from your team.

Leave compliant tenants alone

No more re-checking files for tenants whose coverage is already approved and current.

Tenant Portal

Tenants bring their own policy or buy one. You track both in one place.

Your staff shouldn't be the middleman for every insurance document. From the Tenant Portal on web, iOS, or Android, tenants handle their side themselves, and you don't have to force anyone into one insurer. That means fewer "Did you get my insurance?" emails.

  • See exactly what insurance their unit requires
  • Already insured? Upload a tenant or pet policy with supporting documents
  • Need coverage? Start a tenant insurance purchase through the integrated provider
  • See why a document was sent back, and re-upload it

How do you verify insurance a tenant uploaded themselves?

Through a review workflow with a clear status at every step, instead of an email thread that gets lost.

1

Tenant submits

The policy and supporting documents go straight to your team's review queue.

2

Your team reviews

Approve and activate the policy, or send it back with a specific reason for the tenant to fix.

3

Tenant corrects if needed

The tenant sees your feedback in the Tenant Portal and re-uploads for another review.

4

Tracked to expiry

Once approved, the expiry date is tracked and reminder emails go to the tenant and your team.

For tenants who need coverage

No insurance yet? Give tenants a direct path to get covered.

Tenants without tenant insurance can start a purchase from the Tenant Portal and complete it with our integrated insurance provider. Once the purchase is done, you and the tenant are both notified, and the policy is tracked from there.

Start where they already are

Tenants find the insurance option in the same portal they use for their unit, instead of searching for coverage on their own and emailing you a PDF later.

Purchase confirmed automatically

When the purchase is complete, you and the tenant both get a notification. No document to chase and nothing to key in by hand.

One less move-in roadblock

Tenants can meet the insurance requirement before move-in day, so your team isn't left tracking down proof of coverage.

Pet insurance isn't available through the integrated provider. Tenants upload their pet policy for the same review process described above.

Automatic email notifications

What happens when a tenant's insurance is about to expire?

Mi Property Portal emails the tenant and your team as the expiry date approaches, and again when the policy expires. The status on your dashboard changes too, so the tenant shows up for follow-up without anyone checking dates by hand.

The difference isn't where the document is stored. It's whether anything happens after it's stored.

FAQ

Insurance tracking, answered

Tenant insurance tracking software is a property management tool that monitors whether tenants hold the insurance their lease requires, instead of storing a document once. Mi Property Portal verifies tenant-uploaded policies, tracks expiry dates, and emails tenants and property managers before and when coverage expires.
Yes. Tenants can start a tenant insurance purchase from the Tenant Portal and complete it with Mi Property Portal's integrated insurance provider. When the purchase is complete, the tenant and the property manager are both notified. Tenants who already have coverage can upload their existing policy instead.
Yes. Pet insurance is tracked next to tenant insurance, with its own status, expiry date, and document record. Pet insurance is not available through the integrated provider, so tenants upload their pet policy and supporting documents for the same verification process.
Yes. Once a policy is approved and active, Mi Property Portal tracks its expiry date and emails the tenant as expiry approaches and when the policy expires. The property manager receives matching notifications, so follow-up only starts when a tenant hasn't renewed.
When an approved policy reaches its expiry date, its status changes to Expired and both the tenant and the property manager are notified by email. For policies purchased through the integrated provider, renewals and cancellations are reflected in Mi Property Portal where the provider supports those updates.
Each upload goes to a review queue in the property manager portal. You can approve and activate the policy, or ask the tenant to re-upload with a specific reason explaining what needs to be corrected. The tenant sees that reason in the Tenant Portal and resubmits for another review.
The dashboard shows Compliant, Pending Verification, Information Required, Expired, Cancelled, and Missing Insurance, so a property manager can see at a glance which tenants need follow-up.
Yes. Tenants can view their insurance requirement, upload or re-upload documents, check their status, and start a tenant insurance purchase from the Tenant Portal on web, iOS, or Android.
No. Insurance requirements, documents, verification status, and expiry dates are kept in Mi Property Portal alongside each tenant's record, replacing the manual tracker and the follow-up email chain.
Mi Property Portal runs on Microsoft Azure with Canadian data residency and is built to meet PIPEDA requirements for handling tenants' personal information.
No. Insurance Tracking is included in the Essential and Premium plans. Every new account starts with a 14-day Premium trial, so you can set up and test Insurance Tracking before choosing a plan. The Free plan for up to 25 units does not include it.
Insurance Tracking is included in the Essential plan, which starts at $69.99 per month plus $1.39 per unit per month in Canadian dollars, and in the Premium plan. There is no long-term contract. See full pricing
